Frequently Asked Questions

  • We specialize in the strategy and procurement phase. This includes:

    • Selection: Finding the right software tailored to your business.

    • Architecture: Determining seat counts and user role structures (Admin vs. Viewer).

    • Liaison Services: Managing the relationship with the provider so you don't have to.

What’s handled by the provider: To ensure technical accuracy, the software providers themselves handle the installation, data migration, and specialized training. We oversee the process to ensure a seamless handoff.

  • We position ourselves as a strategic resource for the owner, rather than a "New COO" coming in to disrupt the hierarchy. By acting as a force multiplier, we provide the bandwidth you need to make decisions without taxing your current staff.

    To ensure a smooth transition:

    • Discretion: All high-level strategy and owner intentions are protected by a strict NDA and are never disclosed to employees.

    • Positioning: We are introduced as outside consultants focused on operational "sanity checks" and efficiency.

    • Support: Our goal is to provide the data and structure that allows your team to excel in their specific roles.

  • Internal hires, no matter how talented, eventually develop "tunnel vision." They become part of the company culture and may hesitate to challenge the status quo or point out inefficiencies in your existing leadership.

As a third party, we maintain a strategic distance. This allows us to:

    • Identify Blind Spots: We see the "organizational drift" that internal teams often miss.

    • Execute Hard Decisions: We can implement unpopular but necessary systems without worrying about internal office politics.

    • Focus on Results: Our only metric for success is your operational efficiency, not maintaining a long-term corporate career.

  • Mobile & Modular

We do not require a permanent office, internal IT support, or a "seat at the table." Our engagement is designed to be high-impact with zero-footprint on your daily overhead. We follow a phased deployment:

Phase I: Intelligence & Assessment (On-Site) The first phase is always "boots on the ground." We conduct a thorough on-site evaluation of your current projects, shop flow, and team dynamics. You cannot perform a "sanity check" from a spreadsheet alone; we see the field to understand the reality of your operation.

Phases II & III: Strategy & Optimization (Remote) Once the initial assessment is complete, we pivot to a remote model to maintain strategic distance and minimize disruption to your team. During these phases, we build your systems, refine your processes, draft SOPs, conduct check-ins with management, etc. We will also test systems, such as requesting reports, submitting RFPs, and RFIs.

Ongoing Verification & Training (As Required) While the heavy lifting of strategy happens remotely, we return to the site for:

    • Operational Audits: Verifying that new systems are being executed to standard.

    • Targeted Training: Brief, high-impact sessions to get your key players up to speed on new protocols.

    • Change Management: If your team resists new workflow, software, reporting requirements, etc. We will deploy to remediate the issues.

    • Critical Milestones: On-site presence during high-stakes transitions.

The Result: You get senior-level operational intelligence without the "office noise," permanent desk space, or the coffee-room politics.

  • How do we interface with your existing software (ERP, Slack, etc.)? To be an effective force multiplier, we require visibility into your current operations. However, we do not believe in adding unnecessary "noise" to your internal communication channels.

    • Visibility without Disruption: We typically request "Viewer" or "Read-Only" access to your Project Management software (Procore, Buildertrend, etc.) or ERP. This allows us to perform "sanity checks" on your data and timelines without accidentally interfering with live project entries.

    • Communication Channels: While we can integrate into specific Slack or Teams channels for high-level coordination, we prefer to maintain a strategic distance. This ensures that the owner-consultant relationship remains a private "Strategic Reserve" and doesn't distract your field crew or Ops Manager.

Do you require a paid license seat on our software? In most cases, no. We aim for a zero-footprint integration.

    • Seat Architecture: Part of our service is auditing your current "Seat Architecture." We often find that clients are overpaying for full-access licenses for roles that only require "Viewer" or "Contributor" status.

    • External Collaborators: Most modern ERPs and PM tools allow for "External Collaborator" roles at no additional cost. We utilize these whenever possible to ensure we have the data we need to be effective without adding a single dollar to your monthly subscription overhead.

    Data Security & Confidentiality

As a professional firm, Strongpoint LLC operates under a strict Mutual Proprietary Information Agreement. We utilize our own secure, independent infrastructure to generate reports and strategic maps. Whether our team is on-site with a legal pad or working remotely on a procurement audit, your proprietary business logic never leaves our secure control.

  • We do not bill by the hour. We bill by the objective.

To ensure absolute clarity and prevent scope creep, Strongpoint LLC utilizes a project-based pricing model divided into distinct, limited-scope engagements.

Phase I: The Operational Audit (Fixed Fee) This is a high-impact, short-term engagement. We conduct a "boots on the ground" evaluation of your current projects, shop flow, software architecture, and manpower.

    • Deliverable: A Strategic Roadmap and "Sanity Check" report.

    • The Goal: Identify immediate inefficiencies. In most cases, the optimizations we identify in this phase—such as software seat restructuring and procurement logic—allow our clients to recover our entire engagement fee within the first 90 days.

Phase II: Systems Implementation (Project-Based) If you choose to move forward with the roadmap, we define a specific, limited scope of work for implementation (e.g., "Standardizing Shop SOPs" or "Liaising for ERP Migration").

    • Fixed Price: You receive a quote for the specific project.

    • Defined Boundaries: We focus strictly on the agreed-upon systems to ensure we remain a force multiplier without becoming a permanent overhead fixture.

Phase III: Strategic Reserve (Optional Retainer) For owners who want ongoing oversight, we offer a limited-scope monthly retainer. This provides you with a "Strategic Reserve" for high-level decision support and periodic audits, ensuring your team doesn't drift back into old habits.
